VCCA Forums: Consolidation Discussion — Zoom Meeting

Background

Goal

Maintain a publicly available forum — open to Chevrolet enthusiasts without requiring VCCA membership — that is modern, secure, and low-maintenance and retains the history of our existing and past forums.

Status Quo

• Current forums (vcca.org) run on wpForo, a forum plugin for WordPress. It runs inside our existing WordPress site rather than as a standalone platform, which lets us manage users, content, and the forum through one system (user accounts currently handled via MemberPress). It's serviceable but limited in richness.  
• Historical forums (vccachat.org) run on UBB.threads™ PHP Forum Software, version 7.7.5. UBB.threads is one of the original bulletin-board platforms, dating back to the late 1990s. Version 7.7.5 is old and shows it: outdated security posture, no modern rich-text or image-embedding support, and increasingly hard to patch or maintain.  

History

VCCA moved its main site to WordPress with wpForo for the forums, largely to consolidate everything — membership, calendar, registration, classifieds, rosters, and forums — into one manageable system. The original plan was to migrate the UBB.threads content from vccachat.org into wpForo at that time, but that migration didn't happen due to a number of technical obstacles.

The Problem

• vccachat.org currently costs VCCA roughly $500/year to keep running.
• Beyond cost, there are ongoing maintenance and security concerns, and a real functionality gap (text formatting, image embedding, etc.) compared to modern forum platforms.
• WPForo, although functional, has it own set of problems. (which you all are familiar with)
• Running two separate, disconnected forums (wpForo + vccachat.org) fragments the community and doubles the maintenance burden.
• Forum upkeep currently falls to the same person (ME!) managing membership, calendar, registration, classifieds, rosters, and finances — it's a distraction from those core responsibilities.

Options I'd Like You All to Ponder and Consider

All options share the same end goal: consolidate both forums into a single, modern platform.

• Option 1 — Migrate to forums.aaca.org (AACA-hosted, Invision Community software): Ongoing cost: Free. Functionality: A+. Migration cost: $2,000.
• Option 2 — VCCA-owned Invision Community instance: Ongoing cost: $5,000/yr. Functionality: A+. Migration cost: $2,000.
• Option 3 — VCCA-owned new forum software (platform TBD): Ongoing cost: $500–$5,000/yr. Functionality: Unknown/TBD. Migration cost: $3,000.
• Option 4 — Consolidate our forums into Stovebolt: They have significantly more traction, even before we migrated to WPFORO.  
• Option 5 — Open discussion: Other options I've not considered?  

Migration under any option would bring in all content from both the current wpForo forum and the historical vccachat.org (UBB.threads) forum.

Option 1 Detail AACA Forums:  At the time of the last major WordPress overhaul, VCCA was offered the option to migrate the forums to forums.aaca.org, which runs on Invision Community (formerly Invision Power Board), widely regarded as one of the most capable and polished forum platforms available — rich text, image embedding, mobile apps, strong moderation and security tools. Under that arrangement, VCCA's forums would live on AACA's platform and be maintained by AACA at no cost to VCCA, similar to how the VCCA Library content is hosted by the AACA Library, and the VCCA has a booth at the AACA Hershey show yearly. WE already have a long term relationship with the AACA.

As I recall some of the fears related to migrating to AACA: AACAs commitment to maintaining them a free forums for years to come.  The AACA forums have been around for 29 years FREE, and currently support dozens of the other clubs.  BCA, HCCA, ACD, CCCA, Etc.  Lack of autonomy: Here's my observation:  We'll get more exposure with the AACA than without.  The forums get literally 150x more traffic daily. We'll get in front of Chevrolet forums.  For example Buick forums are supported by the Buick Club and have over 700,000 posts.

Full disclosure: I run the AACA forums.  Have for 29 years. I plan on doing it for years to come.

Budget & Governance

The new Technology Region is positioned to help cover short-term/fixed migration costs. Any ongoing recurring cost would need approval from the Technology Region and/or the VCCA Board.

Side Note

StoveBolt.com is in a similar technical bind — also built on UBB.threads. VCCA has no relationship with that site's owners, but if VCCA moves to a modern platform, a broader consolidation of Chevrolet community forums would likely serve enthusiasts better than the current fragmented landscape.

3. Compare the options — cost, functionality, migration effort
4. Discuss maintenance burden — current load on staff/volunteers, sustainability
5. Budget path — role of the Technology Region, what needs Board approval
6. Moderator input — open floor for concerns, questions, preferences from moderators
7. Next steps — decide who takes a recommendation to the Technology Region / Board, and target timeline
